Success Stories: A Deep Dive into GTD® with Karen Serna

A few weeks ago, I shared a blog post digging into the Getting Things Done (GTD®) methodology. GTD® is a a popular time management and productivity system that provides a structured approach to managing tasks, projects, and commitments popularized by author David Allen.


In the quest for productivity and improved personal wellness, the Getting Things Done (GTD) methodology stands out as a beacon for many. Karen Serna, a valued NASPA colleague who works at Austin Community College, shared with methat she has used GTD® for 20 years. So I asked Karen if she would be willing to collaborate on a follow up blog- and she enthusiastically agreed to share her insightful journey with GTD® with us.


In today's blog, the first of a new series "Success Stories", Karen offers a blend of personal experience and practical advice that will resonate with both new professionals and seasoned practitioners alike.


Karen's encounter with GTD® began in 2004, sparked by curiosity and the adoption of the Palm Pilot at her institution. At a professional development workshop, the GTD® methodology was introduced, leading Karen to delve into David Allen's "Getting Things Done." This initial intrigue blossomed into a two-decade-long relationship with the methodology, albeit with periods of adaptation and experimentation. Karen's approach to GTD® has evolved, yet the core principles remain a constant touchstone, revisited every few years to rejuvenate her productivity system.


One of the most compelling benefits of GTD®, according to Karen, is the significant reduction in stress facilitated by the "Mind Sweep" process. This practice of transferring all pending tasks and thoughts "onto paper" ensures that nothing is overlooked, allowing Karen's system to manage her workload efficiently. Over the years, her GTD® setup has transitioned from Outlook to Google and then through various project management tools, with Asana currently serving as her platform of choice since she is now working at a Google institution. This journey underscores the versatility and adaptability of GTD®, capable of integrating with an array of tools and personal preferences.


For those considering GTD®, Karen's advice is unequivocal: start with the original book. While the allure of online resources is strong, the foundational understanding provided by David Allen's text is invaluable. This initial step offers a comprehensive grasp of GTD®, enabling individuals to effectively tailor the methodology to their tools and lifestyle.


Karen candidly acknowledges the challenges of maintaining consistent adherence to GTD®, normalizing the occasional departure from its disciplined structure. Yet, the true beauty of GTD® lies in its openness to re-engagement—there's always an opportunity to return and realign with its principles. Additionally, the "two-minute rule" has been a transformative element for Karen, applying not only to work-related tasks but extending its efficiency to other facets of life.


Karen Serna's journey with GTD® is a testament to the methodology's enduring relevance and adaptability. It serves as an inspiring reminder that personal productivity is not about rigid adherence to a system but about finding and refining the tools and practices that best suit our evolving needs and circumstances.
