AI in Action: The Tools That Transform My Daily Workflow

Executives lose 2 hours a week to scheduling conflicts. AI can fix that. As a busy human, I'm always on the lookout for ways to work smarter, not harder. Recently, I've incorporated a number of AI tools into my daily routine to shift my approach to time management and productivity. In this post, I'll share my personal experiences with some AI-powered solutions that have transformed my workday.


Gone are the days when I'd spend hours on tasks that can now be automated or streamlined. These AI tools allow me to focus on what truly matters: strategic thinking, high-impact decision-making, and building my business. Let me walk you through how I use these innovative resources to stay ahead in our rapidly evolving business landscape.


AI Writing Assistants:

I've integrated Claude, ChatGPT, and Gemini into my workflow and my writing has improved dramatically. It catches errors I might miss and suggests improvements to my writing in real-time. This means I can craft clear, impactful messages without the need for extensive proofreading. And yes, I don't have a favorite tool. I like them all and get different output from each one.


Smart Scheduling:

Honeybook has eliminated the tedious back-and-forth of setting up meetings. It syncs with my calendar, offers available time slots to others, and even handles rescheduling. I've reclaimed hours of my week that were previously lost to email ping-pong.


Intelligent Note-Taking:

Otter.ai has become my go-to for meetings. It transcribes conversations in real-time, allowing me to fully engage in discussions rather than scribbling notes and trying to capture what we agreed to do next. The ability to search through transcripts later has also proven invaluable.


Research Automation:

When I need to get up to speed quickly on a new academic or research topic, I turn to Consensus AI. It summarizes research papers and generates literature reviews in minutes, a task that used to eat up entire afternoons. There are some other good AI-powered academic research tools out there. This might be the strongest field of AI tools in Higher Ed at the moment- thanks in part to support from Venture Capital, who are investing in these area heavily at the moment.


Personalized News Curation:

Flipboard has replaced my morning routine of scanning multiple news sites. Its AI curates relevant industry news and insights, ensuring I stay informed without wasting time on irrelevant content.


Smarter Email Management:

Gmail's Smart Compose and Smart Reply features have significantly sped up my email workflow. They suggest responses and completions that often hit the mark, allowing me to plow through my inbox more efficiently.


By weaving these AI tools into my daily routine, I've dramatically reduced time spent on administrative tasks. This shift has allowed me to devote more energy to strategic planning and decision-making – the areas where I can truly add value as an executive.
